RESPONSIBILITIES
The person named on the Hire Agreement is responsible for the following:
Fire Safety
The Hirer must properly control access to the egress from the building and be fully conversant with the location of safety equipment and the procedures for emergency evacuation of the premises. All means of exit from the premises must be kept free from obstruction. Real flame, eg. candles, are forbidden.
Security
The Hirer must ensure that before leaving the premises that all the lights and the gas supply is turned off, all windows and doors are shut and locked, no taps have been left running.
Health and Safety
Accidents which may occur during their hire must be reported. Children must be supervised at all times.
Safeguarding of children
Any activities for children must comply with the provisions of legislation with only fit and proper persons having access. Children’s parties are limited to 25 in number, up to the age of 9 years, with a sufficient number of adults to supervise them
Use of Premises
The Hirer shall leave the premises in a clean and tidy condition, restore tables and chairs to the designated areas and remove all waste. Food waste to be taken home. The Hirer must ensure that noise is kept to a minimum, especially when leaving the premises. The Hirer shall be responsible for the supervision of the premises taking care to protect the fabric of building and its contents. The Hirer will be charged for the cost of repairing any damage sustained to fixtures and fittings during a booking.
RESTRICTIONS GOVERNING THE USE OF THESE PREMISES
Smoking (including vaporisers) is not permitted anywhere on the premises or its environs.
Alcohol may not be consumed or noxious substances used on the premises.
The venue is not available for discos, parties, or other forms of entertainment producing loud music.
No animals, other than guide dogs, are allowed on the premises.
No placards, decorations or other articles may be attached to any part of the premises. Adhesive tape or Blue Tack must not be used on the walls or floors.
The maximum number of people using the premises allowed by the Fire Regulations is sixty but the total number of people allowed to attend a specific event may well be less than this, depending on the activity taking place.
BOOKING
When making a booking ensure time is included for preparation and clearing up afterwards. The time booked on the Hire Agreement is the time allowed on the premises.
The current hire fee is £10 per hour.
Payment may be by cash or cheque, payable on the day of hire.
BACS payments may be made with the prior agreement of the GR&RR. The cost of a booking and the method of payment will be quoted on a Hire Agreement form, a copy of which will be sent to the Hirer, prior to the event, as confirmation of the booking.
The Hire Agreement must be signed and dated by the person responsible for the event when payment is made.
The GR&RR reserve the right to refuse a booking.
